Reports to: Vice President & General Manager, Arena Operations and Director, Event Services

SUMMARY: As a member of the Event Services department, the Administrative Assistant will provide support to the Director, Event Services and other members of the department, as necessary, supporting the areas of staff services, guest services & tours, security, health & safety, housekeeping, materials handling, parking and event management. In addition this position provides administrative support to the Vice President & General Manager, Arena Operations.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
(other duties may be assigned as required)

  • Provide administrative support to the Director of Event Services, duties include filing, photocopying, preparing correspondence, scheduling and organizing appointments and meetings, sorting mail, updating minutes, manuals and other documentation, responding to phone requests as able or directing to appropriate personnel and other general administrative duties
  • Provide administrative support to the Vice President and General Manager, Arena Operations, duties include scheduling meetings and appointments, answering and responding to phone calls, support in administration of insurance policies, preparation of contractual documents, and other general administrative duties
  • Provide support to Event Services department Managers as required
  • Maintain department systems and procedures such as purchase orders, department files, vacation and sick tracking, critical path & project lists, budget worksheets and financial documents and expense tracking
  • File and update event binders and maintain event logs and reports as needed
  • Photocopy and distribute event reports the following day after each event (e.g. GSS Reports, Incident Reports, Incident Summary Reports)
  • Assist as required with administration of FANTM (ticket bar coding) system for events including downloading of events, report generation and general maintenance of system
  • Other general and administrative support for the department as required

REQUIRED SKILLS, EXPERIENCE AND ABILITIES:

  • 3 - 4 years of administrative experience
  • Excellent organizational and administrative skills
  • Strong verbal and written communication skills
  • Outstanding interpersonal skills with an ability to interact effectively with a strong focus on customer service
  • Outgoing, pleasant personality with the ability to interact with all levels of staff and management
  • Proficient in MS Word, MS Excel, PowerPoint, email, and database systems
  • Self starter and able to work independently, flexible and able to adapt easily to changing priorities and schedules
  • Ability to work evenings and weekends as required
