Reports to: Director, Premium Client Service

SUMMARY: The Administrative Assistant, CSTO provides administrative support to all members of the CSTO team. This position integrates the entire team and maintains all administrative functions of the department.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Maintains accurate central filing system and implements new administrative / department communications systems, as required
  • Assists in the administration of hospitality suite rentals including emailing/faxing and processing payments for suites along with all game day coordination with internal partners
  • Manages client requests, meetings, and game day hospitality requirements
  • Manages the concert allocation, event announcements notification to premium clients, and is responsible for a monthly mailing of concert tickets and parking passes to clients
  • Assists in the preparation of hospitality suite renewal information and distributes all tickets once processed to all hospitality clients
  • Creates financial reports of hospitality sales for Senior Leadership on a game by game basis
  • Creates and maintains Excel databases for various ticketing and suite promotions, special events and RSVP lists, etc.
  • Assists with overflow calls from the queue and screens incoming calls and handles/resolves inquiries, where appropriate
  • Tracks staff vacation requests and enters them into department scheduler and communications calendar
  • Manages and updates client information in CRM and ticketing databases
  • Maintains inventory of autographed merchandise for distribution in accordance with company and department guidelines
  • Manages and coordinates meetings and events for department and for business-related and social functions
  • Provides administrative support including mail distribution, word processing, faxing, charts, tables and form design, and greeting clients
  • Maintains office supplies and troubleshoots the all-in-one printer systems; manages and reconciles department petty cash
  • Manages the department intern program including hiring, training and coordinating duties and workload
  • Monitors voicemails for the queue and/or hotlines and follows up with requests
  • Tracks and distributes all guest services incident reports relating to ticketing issues
  • Performs special projects, as required
REQUIRED EXPERIENCE AND QUALIFICATIONS:
  • Minimum 3 years experience as an Administrative Assistant
  • Team player with a strong client service focus
  • Flexible with ability to adapt easily to changing priorities and schedules
  • Ability to work effectively in a dynamic, fast paced environment
  • Superior attention to detail and organizational skills
  • Solid computer knowledge, including MS Office (Word, Excel, Powerpoint, Outlook)
  • Must be extremely proficient with Microsoft Excel as this is used extensively
  • Good working knowledge of presentation and desktop publishing software is an asset
  • Excellent written and verbal communication skills
  • Ability to liaise with high-profile clientele
  • Must be able to work weekends and evenings for special events and game nights, as required
  • Ability to handle conflicting deadlines and prioritize
  • Ability to troubleshoot/fix office equipment
