Position:Executive Assistant, Hockey Operations

Department:Hockey Operations
Reports to: Vice President of Hockey Operations & Assistant General Manager

SUMMARY: The Executive Assistant provides administrative support to the Executive Office and coaching staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
(other duties may be assigned as required)

GENERAL ADMINISTRATION:

  • Provide back-up administrative support to General Manager & Alternate Governor, VP, Hockey Operations & Assistant GM, VP, Player Personnel & Assistant GM and other team personnel as assigned
  • Provide administrative support to the coaching staff including receiving incoming telephone calls, opening and distributing mail and personal assistance as required
  • Prepare responses to incoming correspondence addressed to the coaching staff and follow up to ensure issues are properly addressed
  • Provide assistance, communication and support to players’ spouses and families
  • Work closely with the Executive Assistant & Team Services Coordinator and Director, Community Partnerships, in organizing and executing events to engage the players’ spouses and families
  • Maintain an effective database of key contacts
  • Maintain an effective follow-up system to ensure all issues are handled in an appropriate manner
  • Complete and file transfer forms and other documents with the National Hockey League Central Registry office as required
  • Maintain accurate filing system for employment contracts and related documents for Players and employment contracts for Hockey Operations staff
  • Prepare, type and proof documentation which may vary in scope and complexity
  • Provide back-up to the Scouting Coordinator with respect to booking ice and transfer requests for the Canucks and visiting teams while at home and on the road
  • Provide back-up and vacation coverage for the Executive Assistant & Team Services Coordinator, Executive Office Manager and Travel Manager as required
  • Work with the Community Partnerships department in order to manage charitable contributions, such as auction prizes
  • Support the Community Partnerships department in major events
  • May occasionally back-up the Executive Assistant & Team Services Coordinator during game time, but attending games will not be a regular requirement

REQUIRED EXPERIENCE AND QUALIFICATIONS:

  • Minimum of 5 years of administrative experience, including 2 years as a Senior Executive Assistant
  • Sound business judgment, including the ability to handle sensitive and highly confidential information
  • Ability to deal effectively with individuals at all levels
  • Professional temperament, including the ability to remain calm under difficult circumstances
  • Solid team player with a strong customer service focus
  • Superior organizational and administrative skills
  • Excellent verbal and written communication skills; strong editing and proofing abilities
  • Proven time management skills, with an ability to effectively establish and execute priorities in a dynamic and changing environment
  • Extensive computer knowledge, including MS Word, MS Excel, PowerPoint, and Outlook
  • Able to work flexible and long hours, with occasional game nights as required; some travel (trainging camp, NHL Entry Draft)
